Automating processes: what is really worth it

By no means every process is worth it. What suits well is whatever happens often, follows fixed rules and has a clear result. Here are a few examples from practice and a short test you can use to check your own processes.

How to spot a good candidate

  • It happens often, every week or every day.
  • You could explain it to a new temp on one page.
  • The data is already digital, not on paper.
  • A mistake is noticeable and can be fixed.
  • It currently eats up a noticeable amount of time.

Typical examples

  • Contact form → entry in the CRM, message to the person responsible
  • Email to the info mailbox → ticket, already sorted by topic
  • Appointment booked online → confirmation and reminder the day before
  • Incoming invoice → data extracted and prepared for accounting, a person checks it
  • New customer → task list for the team is created
  • Monday morning → report with last week's figures in your inbox

Where caution is needed

As soon as discretion, legal consequences or a lot of money are involved, a human approves. No machine sends out a goodwill decision or a reminder to a regular customer. The automation lays out the documents, you decide.

Prerequisites

Write down the process first: who does what, with which data, and what happens with exceptions? Only then does it come down to tools. A process that nobody properly understands just gets wrong faster through automation.
